Covolve Labs ("Covolve") provides coaching services and personal development experiences. By engaging with us, you agree to abide by the following terms and policies. We reserve the right to modify these terms at any time, and your continued use of our services or participation in our experiences constitutes acceptance of any such changes.
We respect your privacy. Covolve Labs collects limited personal information to provide you with personal development and coaching services and to improve our offerings to you and other future participants. Mostly we just need your basic contact info and billing information. We do not sell your personal information to third parties. Any data we do collect is used solely to facilitate your journey. Your information may be shared with a limited number of service providers (listed below) solely for use in operating our business.
Should this privacy policy need to be changed in the future, we will make a best-effort attempt to communicate the changes to you proactively, using the contact information we have on file.
If you are no longer an active participant or customer, you may write us to request that we delete your non-essential information and we will be happy to do so. However, your name and a record of the experiences you purchased and payments you made, etc. are part of the essential business records of Covolve Labs LLC, and may be retained even after we have deleted your contact information, billing information, and other details to the extent required or allowable by law.
We currently use the following service providers for the listed purposes:
Stripe: Invoicing, subscription management, and payment processing
Google: Email, customer registration, appointment scheduling, and cohort discussion groups
WhenAvailable: Group scheduling (anonymous unless you choose to give them your email)
What's said in the room stays in the room. Anything you share with us or during a Covolve experience (e.g., cohort or coaching) is confidential unless you explicitly state otherwise for some reason. We will not share the things you tell us outside our meetings and experiences, however we may write about general ideas or insights that we discover together in our explorations (and we hope that you will too!).
If you are participating in a group experience, then you are also expected to treat others' personal information and stories with similar respect and confidence, as you will no doubt expect them to do for you. Please do not share or repeat other people's stories or the details of what happened in particular meetings.
A special note about the use of AI tools or recordings: As an extension of this philosophy, due to the difficulty of perpetually ensuring data security, Covolve does not allow recording or transcription of Covolve meeting sessions, including the use of AI assistants or notetakers. That said, if you are an agreed participant in a meeting that is intentionally and explicitly for the purpose of recording and sharing your participation (such as a video podcast interview session) then we will use recording technology, possibly including AI transcription/translation and summarization services. By participating in such a meeting, you are agreeing to the use of such technology, and to the Intellectual Property terms below unless another written agreement explicitly supercedes these terms.
All billing inquiries and support requests must be submitted through email or contact form. We use secure payment gateways and certified financial service providers to process all transactions. Payment method information is only stored when instructed by you to facilitate scheduled payments, and will always be maintained in appropriately secured third party payment management services (like Stripe, Square, Venmo or other similar systems).
Any disputes regarding billing must be communicated and discussed through our official support channels before further action is taken.
Our services (either cohort experiences or personal coaching sessions) will be billed according to your preference: generally either per-session, or in an up-front lump sum. We will ask you to select a billing method at the time of enrollment. In the case of per-session, you will receive regular payment invoices based on the program you have signed up for (e.g., every 3 weeks for some number of occurrences).
While we do not require a formal contractual commitment, it is crucial to the cohort's quality and sucess that you make a serious commitment to participate for the full length of the program. That said, you may withdraw with no further financial obligation if circumstances require - just talk to us and we can discuss the situation. If you experience a change in life circumstances that creates difficulty in your ability to pay or participate, please talk with us before you make a final decision - we may have other ideas about how to help you continue.
For Individual Sessions
Out of respect for the value of the time we reserve for you, we ask that you please provide notice of a reschedule or cancellation via direct email to your guide at least 48 hours ahead of the appointment time. Appointments canceled without such notice (or no shows) will be billed the full amount. We can choose to waive this fee at our sole discretion for truly unforeseeable or extenuating circumstances.
Cohort based experiences thrive on the unique bonds forged between the members of the fellowship through regular attendance and are enriched by the contributions of all participants. This can create challenges for "making up" a session, since no other cohort session on that topic will be the same as what your group explores and discovers together.
However, should you need to miss a cohort meeting, you will still be billed. We will attempt to arrange for you to join another cohort exploring the same topic if feasible, or offer a personal coaching session with one of our guides to help you stay in touch with the ideas that are evolving in the group. Should it prove impossible to provide an alternate experience, we may opt to refund your payment for that instance, and this decision will be at the sole discretion of Covolve.
While many of the ideas we explore have very long histories in human culture, the specific interprations of them and any content/materials provided to you by Covolve Labs are protected by intellectual property laws. Unauthorized reproduction, distribution, or modification of our content is strictly prohibited. We reserve all rights to our copyrights, trademarks, logos, and proprietary coaching methodologies.
Even though many core ideas are not new, we will often find new understanding of them together. By participating in Covolve meetings, you hereby grant Covolve Labs a non-exclusive, royalty-free, non-revokable, re-assignable, paid-up-in-full license to make use of any ideas or insights to which you may have contributed, in any form. You also waive all rights to be cited as a licensor or originator of any idea you contribute or partially contribute to. For example, if you are in a cohort that discovers a new way of viewing an idea, Covolve and its owners are free to use that new perspective in future meetings with other cohorts, or we might write about it, publish a blog, make a podcast, etc. (always while maintaining personal privacy and confidentiality as described above). Since your grant of these rights is non-exclusive, you are also welcome to write, speak, or further develop the ideas that you contribute to (while respecting that Covolve's intellectual property is not licensed to you).
